The NHI ownership assignment workflow finds non-human identities (NHIs) - service accounts and API keys - across your connected applications and assigns each one an owner using Oleria’s built-in assignment logic, with a fallback rule when a primary owner can’t be resolved. It can optionally route the assignment to a reviewer for confirmation before applying it. This prevents orphaned NHIs from going unnoticed, reducing privilege sprawl, credential misuse, and audit failures.

Trigger

Set a schedule for the workflow to run - for example, every day at 9:00 AM UTC.

Filter records

Scope the workflow to specific application instances, or leave it scoped across all connected applications.

Auto Assign Owners

Oleria proposes an owner for each unowned NHI automatically, applying a fallback assignment rule when it can’t resolve a primary owner.

Add Reviewers

Optionally route each proposed assignment to a reviewer for confirmation before it’s applied.

Send Notifications

Notify the proposed owner and reviewer - for example, by email and Slack.

Apply ownership decisions

The workflow records the ownership assignment - once a reviewer confirms it, if reviewers are configured.

Build details

Select View all approval requests from the build details panel to see every ownership assignment this workflow has generated.

Reviewing runs

Select the Runs tab to see the workflow’s execution history - when it ran, which NHIs it found, and who was assigned.
